Publishing objects

If you make your new charts and dashboards publicly accessible, any user can follow the link and view the newly published object without authorization. However, no user can view the chart's settings, connections, dataset, or run an SQL query.

Warning

Before publishing any data, make sure that your charts and dashboards do not contain any personal data or trade secrets. Access to published data is not restricted.

Publishing rules

Before publishing data, make sure that:

  • You have the Admin permission to published charts, dashboards, and related objects.

  • Your charts and dashboards do not contain any personal data or trade secrets. Access to published data is not restricted.

  • The connection your objects run on top of supports data publication. You cannot publish data from the following connections:

To secure your published data:

  • Grant the user permission to view only the tables that are used to build a dataset when connecting to a database.
  • Minimize the data in a dataset and only add the required filters to your dashboard. You can download data on a public dashboard in a machine-readable format.

Publishing an object

The method you use to make an object publicly accessible depends on its location, i.e., in a workbook or folder:

  1. In the left-hand panel, select Collections and workbooks.

  2. Open the workbook of interest and select a dashboard or chart.

  3. At the top of the object, click and select Share.

  4. In the window that opens, go to the  Public tab and set up public access:

    1. Enable  Public access.

    2. Optionally, click  Contribute to DataLens Gallery and fill out the form for adding a dashboard to the Gallery.

    3. Optionally, enable Dashboard author and specify the link to the dashboard source or author and its text. The link will be displayed at the bottom of the dashboard.

    4. Optionally, under Linked objects, select the objects to make public. By default, DataLens will automatically grant access to all linked objects.

    5. Click  Copy link at the bottom right.

      Note

      • The public access link grants access to the dashboard and all its linked objects to any internet user. To copy it, click Copy link.
      • The link from the browser address bar provides access to the dashboard and all its linked objects only to authenticated users with appropriate permissions.

    1. Enable  Public access.

    2. Optionally, enable Chart author and specify the link to the chart source or author and its text. The link will be displayed at the bottom of the chart.

    3. Optionally, under Linked objects, select the objects to make public. By default, DataLens will automatically grant access to all linked objects.

    4. Click  Copy link at the bottom right.

      Note

      • The public access link grants access to the chart and all its linked objects to any internet user. To copy it, click Copy link.
      • The link from the browser address bar provides access to the chart and all its linked objects only to authenticated users with appropriate permissions.

Warning

If you use the new DataLens object model with workbooks and collections:

  1. In the left-hand panel, select Collections and workbooks.
  2. Open the workbook you need and select an object.

Proceed with this guide from Step 2.

  1. On the navigation page, find the dashboard and open it.

  2. At the top of the dashboard interface, click and select Public access.

  3. In the window that opens, set up public access as follows:

    1. Under Current object, enable publishing. You will see a link for public access to the dashboard below.

      Note

      • The dashboard, along with all its included related objects, will be accessible to any internet user via a public access link. To copy it, click Copy link.
      • The dashboard and its related objects will only be accessible to authorized users via the link in the browser's address bar, factoring in their access permissions.

    2. Optionally, under Author or link to source, specify the link to the dashboard source or author and its text. The link will be displayed at the bottom of the dashboard.

    3. Optionally, under Linked objects, select the objects to make public. By default, DataLens will automatically grant access to all linked objects.

    4. Click Apply.

Warning

If you use the new DataLens object model with workbooks and collections:

  1. In the left-hand panel, select Collections and workbooks.
  2. Open the workbook you need and select an object.

  1. On the navigation page, find the chart and open it.

Viewing published objects

The DataLens instance admin may view a list of all objects published within that instance:

  1. Go to the DataLens home page.
  2. In the left-hand panel, select Service settings.
  3. Select the Security tab.
  4. Under Publication, click View published.

Sharing a chart based on Yandex Metrica or AppMetrica data

To share a chart or dashboard containing Yandex Metrica or AppMetrica data, use one of the following methods:

  • Add a user to your organization or cloud and grant them access to a dashboard or chart.
  • Export data to a Managed Service for ClickHouse® cluster and use a connection to the ClickHouse® database as a source. To learn more about the Managed Service for ClickHouse® pricing plans, see Pricing.

Disabling publication

By default, users can publish charts and dashboards for which they have the admin permissions. You can disable this option at the DataLens instance level. After you disable publication:

  • All previously published objects will no longer be public.
  • Users will not be able to grant public access to objects.

Only the instance admin (the datalens.adminrole) can disable publication.

To disable object publication:

  1. Go to the DataLens home page.

  2. In the left-hand panel, select Service settings.

  3. Select the Security tab.

  4. Under Publication:

    1. View a list of published objects that will no longer be publicly accessible. To do this, click View published.
    2. Disable Publication.
